Title: Registrar, Hong Kong

Reporting to: Gallery Manager, Hong Kong

Hours: Tuesday to Saturday, 11.00am to 7.00pm (additional hours as required) 

 

Overview

This role acts as the primary registrar for Hong Kong with overview of Seoul gallery, coordinating movements for exhibitions, post-sale shipments, stocks, and consignments. Working closely with the global Registrar team to support process standardisation, consistent standards, and clear shipping policy across regions, while ensuring accurate documentation, inventory tracking, and oversight of third-party agents. 


Main Responsibilities


Operations & Administration

  • Manage artwork movement tracking in/out of galleries and external warehouses
  • Coordinate shipments, stock transfers, and storage moves; manage day-to-day relationships with shippers, storage providers, and warehouses
  • Ensure complete shipping and customs paperwork
  • Ensure all shipments comply with legal and company standards
  • Prepare quotes, schedules, and shipping plans
  • Support storage reviews and stock checks, maintain accurate inventory records for all Hong Kong and Seoul stock items, including movement and condition
  • Prepare regular reports and provide accounts department with relevant customs documents for processing
  • Act as point of contact for ad hoc queries from clients, colleagues, and institutions regarding artwork movement and condition

 

Artists, Exhibitions, Loans & Consignments

  • Coordinate transport of artworks from consignors to Hong Kong and Seoul, and manage logistical movement for viewing rooms and galleries
  • Liaise with exhibitions department on shipping schedules and deadlines
  • Support with exhibitions and loans to and from Hong Kong and Seoul
  • Oversee and instruct condition reporting, ensuring all updates are logged in the system
  • Coordinate and oversee third-party agents performing technical duties at the gallery or third-party premises
  • Manage all secondary consignment inbound and outbound shipments

 

Client Services

  • Arrange safe delivery of artworks promptly upon full payment receipt; instruct storage facility releases
  • Collate pre-sale estimates for sales team and provide post-sale shipping estimates to clients
  • Provide accurate instructions to agents and clients regarding handling, installation, care, and maintenance of artworks
  • Adhere to all HK and Seoul customs requirements and obtain all relevant shipping documentation upon collection
  • Management and escalation of client service issues
