We are looking for a high calibre Gallery Intern (Part-Time) to join our Hong Kong team. You will be working closely with the manager in Hong Kong to support daily operation and exhibition planning. You will be given a chance to be involved in different aspects of the art gallery industry. 

Responsibilities (not limited to):

  • Station at the reception desk and proactively welcome visitors.
  • Assist Manager in general office administration.
  • Assist the team in exhibition planning, including installations, de-installations and documentation of artwork conditions.
  • Assist Manager in PR & Marketing, including social media accounts, website and Artsy.
  • Assist in designing and developing exhibition materials, and translate such relevant documents from English to Chinese (or vice versa).
  • Assist in on-site and off-site gallery events and openings.
  • Assist with ad hoc duties as assigned.

Requirements:

  • Degree in (or currently studying in related fields) business, communication, art, or culture is preferred.
  • Previous working experience in art gallery, museum and other art institutions is preferred.  
  • 2-5 working days per week.
  • Good command of written and spoken English and Chinese (Cantonese) are essential. Fluency in other foreign languages is welcome.
  • Familiar with using WIX, Adobe Clouds and Microsoft office & excel is highly preferred.
  • Able to work in a team and independently.

To provide administrative, financial and logistic support in managing the sale administration for the 20th Century & Contemporary Art department and to coordinate and/or execute all administrative tasks linked to the 20th Century & Contemporary Art sales in Hong Kong. Assist the Head of Department, Specialists and Senior Administrator with any other tasks as required.

Duties and Responsibilities:

  • Work closely with the Senior Administrator as well as Head of the Department and Specialists for all administrative tasks linked to the administration of auctions in Hong Kong: these tasks would start from the coordination of evaluations requests and the contract preparation with consignors to the potential follow-up of payment, collections and shipping delivery.
  • Provide an excellent level of service for all administrative tasks involving answer general enquiries, work in coordination with all other support functions (finance, shipping, business management) and record data using internal systems as required.
  • Assist to coordinate photography and cataloguing of all properties liaising with relevant departments (art department, photographers, specialists and business management).
  • Assist to organize shipment of properties as required and liaise with the shipping department and other departments as necessary: this involves preparing relevant documentation but also liaising between clients, shipping department and specialists. This would apply to all import shipments and, in some cases, export shipments.
  • Assist to liaise with the accounting department for the payment of invoices, the processing of check requests and relevant purchase orders.
  • Compose and edit correspondence, reports, memoranda and other material.
  • Work at all auctions and participate in telephone bidding and any other duties as required.

Requirements:

  • Art History background desirable
  • A Bachelor's degree or equivalent
  • Computer literate and proficient in Microsoft Office Software (Excel, Outlook, Word and PowerPoint), required.
  • A minimum of 3 year's work experience in a similar role, required.
  • Strong business sense and an excellent understanding of the art market.

The Role

The successful candidates will be part of the gallery team providing administrative, coordination, and sales support on all gallery day-to-day operations, exhibitions, art fairs, and projects. The Gallery Assistants shall maintain an elegant, welcoming atmosphere in the gallery and providing general assistance to visitors.

Responsibilities

  • Daily operation duties include: answering calls, handling visitor enquiries, handling sales of books and merchandise, maintaining a tidy and organised environment in the gallery, switching on and off and participate in exhibitions/events, and alerting relevant colleagues to situations and matters arising in the gallery;
  • Maintaining an excellent understanding of current exhibitions in order to convey to visitors the concepts behind each show; Preparing private guided tours according to appointments;
  • Responsible for administrative tasks which include but are not limited to: updating artwork databases and gallery contacts, preparing and maintaining documents (e.g. briefs, information decks, proposals, presentations, schedules, lists, reports), and recording production expenses;
  • Develop a sound understanding of the gallery’s roster of artists and programme of exhibitions, and assist in preparation of future exhibitions/events documents;
  • Help in digital and communication tasks including social media content writing, graphic design for exhibitions and translation of correspondences and information for internal and external circulation;
  • Ad-hoc duties or projects as assigned.

Requirements

  • Minimum two days of work per week with high flexibility in schedule (from Monday to Saturday)

This position is responsible for supporting a wide range of administrative, financial and logistical activities for Phillips' Private Sales in Asia.  Based in the Hong Kong, the Private Sales Coordinator will report to the Private Sales Coordinator in London, and will work closely with Private Sale colleagues, Client Accounting, Shipping and support functions across the business.

Duties and Responsibilities

  • Liaise with clients as well as internal staff from all departments, including coordinating with Private Sales colleagues in Asia and the other regions.
  • Create contracts for Private Sales, working with the Legal department when necessary.
  • Maintain Private Sales transactions tracker in coordination with Private Sales colleagues in Asia and the other regions.
  • Coordinate shipping, receipt, and examination of Private Sale property committed to Phillips.
  • Perform all due diligence related to the artwork, including consulting the Art Loss Register, and to the client, including AML/KYC requirements.
  • Maintain a spreadsheet of the cataloging status of all works for ongoing status and reference.
  • Liaising closely with Client Accounts, deliver fully reviewed and accurate documentation to complete the invoicing and settlement of sales.
  • Arrange approval of employee commissions with appropriate members of senior management in accordance with Phillips Private Sales policy and submit approved commissions to Finance for payment.
  • Coordinate post-sale shipping to buyers of Private Sale works, or return to owner, as necessary.

Exhibition Manager - Hong Kong Contemporary Art Foundation (HOCA)

OVERVIEW

As an Exhibition Manager, your main responsibilities will be the organisation, planning and managing of HOCA’s UPCOMING MARCH 2022 exhibition, overseeing the full process and ensuring all aspects of an exhibition are managed and completed in an effective and timely manner. Reports directly to Director.


MAIN RESPONSIBILITIES

  • Responsible for liaising directly with the Artist and studio (based in New York plus any additional time zones, as needed).
  • Work together with the Artist and studio on curating the Exhibition and managing installation on site in Hong Kong at the venue.
  • Liaise with external contractors and suppliers to build out the Exhibition and install the artworks. You will be required to review and work within the approved Exhibition budgets, ensure quality control, and adhere to deadlines.
  • Coordinate and implement install and de-install of the Exhibition, including: packing and unpacking artwork, shipping, inventory artwork, condition reports, framing (if required), hanging and cleaning of artwork, as well as any other required set up tasks, as needed.
  • Assist the Director with all Exhibition correspondence, including: contracts, condition reports, checklists, contractor agreements, loan agreements and insurance policy, as well as any other required tasks, as needed.
  • In partnership with the Director and the Artist Studio, support exhibition design and production of the Exhibition catalogue.
  • Work on the marketing and promotional campaigns, together with the Director and the PR team to make sure event information, event collateral and invites are ready and sent in a timely manner and actively promoted to relevant contacts.
  • Assist the Director with the organisation, logistics and guest lists for the Exhibition Opening, Artist dinner and VIP party.
  • Collaborate with the Director to organise related educational activities for the duration of the Exhibition.

QUALIFICATIONS

EDUCATION AND EXPERIENCE

  • A Degree in arts education, museum studies, art history, or other related area, is preferred.
  • A background in art related project management is essential for this role. Minimum 4+ years work experience in this field is required.
  • Fluent in English and proficient in Cantonese or Mandarin.
  • Prior budget management experience.
  • CAD design ability and 3D rendering, is helpful.

SKILLS AND ABILITIES

  • Ability to lead and administer teams while working on multiple projects on budgets.
  • Strong organisational skills: Proven ability to work independently and with a team, manage multiple concurrent projects, and meet deadlines.
  • Strong administrative skills: ability to lead, organize, delegate and ensure good communication within teams.
  • Attention to detail.
  • Knowledge in all aspects of exhibition set up, construction, fabrication, demolition, budget building and management.

WORKING CONDITIONS

  • The Exhibition Manager will work partly from home, the HOCA office and the Exhibition Venue, as agreed in advance with the Director.

The manager will be working directly with the Director and supervise 1 or 2 interns.

He/she must be able to work with individuals from a variety of backgrounds and positively represent the Foundation, its partners, program and team in these relationships.
